Orders and Tracking in Shopify

Orders and Tracking in Shopify

Which orders are sent automatically

With Send paid local delivery orders automatically on (the default), an order is sent when it is:

  • paid (or partly paid), or unpaid with a cash on delivery payment method, and
  • delivered by local delivery, or by a Fleetbase checkout rate. Turn on Also send shipping orders to include every shipping order.

Pickup orders are never sent. Each fulfillment location becomes its own Fleetbase order.

Fleetbase receives the pickup place, the shipping address and contact, the items that need delivery, the customer, the delivery window, the order note and, for cash on delivery, the amount to collect. The Shopify order gets the tag fleetbase.

Sending orders by hand

Use any of these for orders that were not sent automatically, such as orders created in the admin:

  • More actions › Send to Fleetbase on an order.
  • Send orders to Fleetbase on selected orders in the orders list.
  • Send to Fleetbase in the order block, or Send on the Deliveries page.

The dialog shows the result. Orders already in Fleetbase are skipped.

The order block

The Fleetbase delivery block on the order page shows the status, driver, scheduled time, tracking number and proof of delivery. From it you can assign a driver, dispatch, cancel, refresh, and open the order in Fleetbase.

Shopify does not add app blocks automatically. Add it once from the order page's apps area and it stays on every order.

Deliveries page

Deliveries lists orders by scheduled time with filters for Open, Finished, All, Failed to send and Needs attention. Select rows to dispatch or resync several at once.

Status updates in Shopify

In FleetbaseIn Shopify
Driver dispatchedOrder marked fulfilled with tracking; customer emailed the tracking link
Driver starts"Out for delivery" on the timeline
Completed"Delivered" on the timeline; proof of delivery saved
Failed"Delivery could not be completed" on the timeline
CancelledStatus shows Cancelled; the Shopify order is not cancelled

Each step can be turned off in Settings › Updates in Shopify. The "Out for delivery" and "Delivered" events need the fulfillment, so they are skipped when fulfilling on dispatch is off.

Updates arrive within seconds with the Fleetbase webhook, or within 5 minutes through polling.

Changes in Shopify

  • Cancelled or fully refunded orders cancel the Fleetbase order (setting on by default).
  • Address or item changes are sent to Fleetbase while the order is still unassigned. After that, the delivery is flagged Needs attention so you can update it in Fleetbase and tell the driver. Click Mark as handled when done.

Failed sends

A delivery shows Failed to send with the reason. Common reasons:

  • The location is not mapped to a pickup place. Map it in Settings › Pickup locations and send again.
  • The order has no usable delivery address.
  • Fleetbase rejected the order or was unavailable. Temporary errors are retried for up to 8 hours.

Customer tracking

Customers signed in to new customer accounts see a Fleetbase delivery section on the order status page: the status, estimated arrival, driver's first name, a live map while the driver is on the way, and the proof of delivery photo. Turn these on or off in Settings › Customer tracking page. Guests get Shopify's tracking emails with the Fleetbase tracking link.
