Managing Orders
Work an order from the Storefront console — the order panel, its next step and due time, alerts, items, payment, messages, labels and cancellation.
Managing Orders
Click an order in Storefront → Orders to open its panel. Everything about the order is on one scroll, most urgent first: what to do next, what needs attention, where it goes, what is in it and how it was paid. Less urgent sections are folded at the bottom.
The order panel, editing and cancellation with a refund ship with Storefront v0.4.25. Parts that depend on Fleet-Ops (pushes to the driver) need Fleet-Ops v0.6.72.
Next step and due time
The top of the panel says what the store does next and when the order is due:
| Order status | Next step shown |
|---|---|
created, pending | Accept the order |
accepted, confirmed, preparing | Prepare it and mark it ready |
ready (delivery) | Assign a driver, or hand it to the assigned driver |
pickup_ready (pickup) | Hand it to the customer when they arrive |
| With a driver | The driver is delivering it |
completed, picked_up | Delivered / picked up by the customer |
canceled | Canceled, with the reason when one was given |
A booking shows its booked time instead of a due time, with Reschedule in the header. For other orders, the due time is the scheduled time, else the time the order was placed plus the store's preparation time plus the estimated drive (no drive for pickup orders). Preparation time comes from the store's options.prep_minutes and defaults to 20 minutes; there is no field for it in the console yet. Once the due time has passed, the line reads Was due … · N min late.
Print label next to the step opens the order's shipping label as a PDF in a new tab (for a booking it's in the header's ⋯ menu).
Alerts
Below the next step, banners list what needs attention. Each banner carries the action that resolves it:
| Alert | Raised when | Action |
|---|---|---|
| The customer says the address is wrong | The customer sent a wrong-address request. Shows their message and the saved address they suggested. | Update address opens the edit form at the address; saving a new address closes the request. Dismiss closes it without a change. |
| … is still due after an edit | An edit raised the total of an order paid online. | Copy payment link when the customer was sent one; otherwise the driver collects it. |
| Unavailable: … | An item was marked unavailable. | Substitute or remove opens the edit form at the items; the difference is refunded or credited. |
| … past due | The due time has passed. | Change time |
Alerts stop once the order is completed, picked up, canceled, expired or failed.
Items
The Items section lists each line with its options, quantity and the item's note, and the section header counts the items and products. Every item is taken as packed and delivered; there is nothing to tick. While the order is open or ready, Mark unavailable flags a line the store can't supply: the line shows Out of stock, the Unavailable alert is raised, and the customer is told straight away with the order_item_unavailable notification (Mango Lassi is unavailable — the store will replace or remove it and adjust the total). Available again clears it. Edit items opens the edit form at the items.
Item state is kept on each item (meta.unavailable, meta.note) and is visible to the apps: the Storefront app strikes unavailable items through and labels substitutes.
Payment line
Under the items, one line sums up the payment status, for example:
- Paid $24.50 by Card (Stripe) · nothing to collect
- Cash on delivery · $18.00 to collect
- Paid $24.50 by Card (Stripe) · $3.00 refunded
- Paid $24.50 by QPay · $4.00 still due
- Not paid yet · $24.50
Messages and comments
The Messages section holds the store's conversation with the customer and a read-only view of the customer's conversation with the driver. See Order Messages.
The Comments section is for notes about the order. With core-api v1.6.69, comments written in the console are internal: they don't reach the customer's or the driver's apps. See Comments.
Folded sections
Activity (every step, edit, payment change and message, newest first), tracking, order details, customer insights (how many orders the customer has placed with the store, and their last message), store, other orders from the same checkout, metadata, documents, and any sections registered by other extensions are folded at the bottom of the panel. Click a section's title to open it.
Cancelling an order
Click Cancel Order in the panel's actions.
Enter a Reason, for example an item is out of stock. The customer is told why.
When the customer has paid, leave Refund what was paid ticked to give the money back. Stripe and QPay payments are refunded to the card or bank; payments a gateway can't refund are given back as store credit. Untick it to cancel without returning anything.
Click Cancel order.
The refund runs first: if the gateway refuses it, the order is not canceled and the error is shown, so you can try again or handle it another way. A canceled order also:
- releases its promotion uses, so the customer can use those promotions again;
- puts its items back in stock when the products track stock;
- sends the customer the
order_cancelednotification with the reason and what happens to their money (a refund, or the store credit code). A canceled booking gets the booking's step notification instead.
Finished orders (completed, picked up, canceled, expired, failed) can't be canceled.
Orders & Checkout
Manage the full Storefront order lifecycle — cart, two-step checkout, payment, Fleet-Ops fulfillment, and the transactional notifications that fire along the way.
Editing Orders
Change a placed Storefront order — its items, delivery address, contact, time and notes — re-price it, settle the difference and tell the customer and the driver.
