Build inspection checklists, have them filled in from the console or through a secure link, and turn failed checks into issues and work orders.
Inspections
Inspections let you check vehicles against a standard checklist and keep a record of every result. Use them for daily walk-rounds, pre-trip and post-trip checks, safety and compliance audits, or damage assessments.
A consistent inspection record helps you:
- Stay compliant — every inspection is stored with who filed it, when, the answers given, and any photos or signatures.
- Keep vehicles safe — a failed check can be marked Unsafe to operate, so problems are flagged before the next trip.
- Catch defects early — failed checks become issues and work orders with one click, so nothing is noted and then forgotten.
You'll find inspections under Fleet-Ops → Maintenance, in two menu items: Inspection Forms and Inspections.
Key Terms

| Inspection Form | The checklist you design: field groups (such as Exterior or Brakes) holding the fields to answer. A form is Draft, Published, or Archived. |
| Inspection | One completed run of a form, recorded against a vehicle and driver. Its details page is titled after the form, for example Daily Walk-round Submission. |
| Inspection Link | A single-use link, protected by a 6-digit PIN, that lets someone fill in a published form without signing in to the console. |
| Follow-up | The issue or work order raised from an inspection's failed checks, and resolving the inspection once the follow-up is under way. |
How Inspections Work
Build a form → Carry out the inspection (in the console, or through an inspection link) → Submit → Review the result → Follow up failed checks → Track the fix on the issue or work order
- Build a form. Group the things to check and add a field for each one. Pass / Fail fields decide whether an inspection passes. Publish the form when it's ready.
- Carry out the inspection. Fill it in yourself from Maintenance → Inspections, or generate an inspection link and send it, with its PIN, to the person doing the check.
- Submit. Filing the inspection records the time and counts its passed and failed checks.
- Review the result. Every inspection shows a Result of Passed or Failed, how many checks failed, the answers, photos, and who submitted it.
- Follow up. Create an issue or a work order from the failed checks. Forms can also raise an issue or work order automatically when an inspection link submission has failures.
- Track the fix. The issue and work order link back to the inspection, and the inspection links to them. Resolve the inspection once follow-up is in hand.
Where Inspections Appear
- Maintenance → Inspections — every inspection, with its result and failed count.
- Inspection Forms → [Form] → Submissions — every inspection filed against that form.
- Vehicles → [Vehicle] → Inspections — the vehicle's inspection history.
- Issues and Work Orders — a Linked Inspection section on any issue or work order raised from an inspection.
- Maintenance Hub — a Failed Inspections count that takes you to the inspections list.
- Radar — failed inspections that have no issue or work order yet, follow-up still open, drafts that were never filed, and inspection links about to expire unused.
Permissions
Inspection forms and inspections have their own permissions, which you grant through roles and policies in Identity & Access. Besides the usual view, create, update, and delete permissions, forms have separate publish and archive permissions, and inspections have separate submit, create issue, create work order, and resolve permissions. Actions you don't have permission for are hidden in the console.
The built-in MaintenanceManager and OperationsAdmin policies include full access to inspection forms and inspections.
